Tips and Tricks: Working with dates in Filters

Using dates in filters allows you to dynamically organize and manage assets based on their metadata, ensuring selections stay relevant over time. This article will give you some tips to get started.

By setting up date-based rules, you can ensure your folders and collections stay updated automatically, reflecting the most relevant content at any given time.

Types of dates you can use

Understanding the types of dates available in your system is the first step to effectively using filters. These dates can come from built-in system properties or custom metadata you have defined. Here’s a breakdown of the key types:

  1. System-embedded dates:

    • These are built-in dates provided by your system, such as:

      • Updated

      • Uploaded

      • Published

  2. Custom metadata dates:

    • Dates you define in your metadata structure, such as:

      • Photo Date

      • Expire Date

      • Launch Date

Working dynamically with dates

You can create dynamic filters by setting rules based on moving date values, such as:

  • +1 week

  • Today

  • -30 days

Examples:

  • Assets uploaded in the last 30 days:

    • Rule: Uploaded + After + -30 days

  • Assets Expiring Within a Date Range:

    • Rule: Expire Date + Between + Today and Next 30 Days

The great thing about these rules is that they adjust dynamically. For example, the assets included in a "Last 30 Days" folder today will differ from those included a week from now, always reflecting the most relevant assets.

Possibilities with date-based filters

Filters based on dates offer endless possibilities for managing your assets more effectively. Whether you’re looking to identify missing metadata, track expiring assets, or group files by specific time periods, these tools can simplify and enhance your workflows.

  • The rules that can be applied :

    • After

    • Before

    • Is

    • Has a Value

    • Has No Value

Example of a use case:

Managing your assets in line with copyright regulations is really important! That’s why adding an expiration date is such a smart move. By having an easy way to spot any assets that don’t have a value in this field, you can boost your compliance efforts. This way, you’ll make sure that all your assets have the right metadata to manage their lifecycle effectively.

Advanced use with highlighter Plugin

By combining date filters with our plugin, Search Result Highlighter, you can create visual cues for managing assets:

  • Expired Assets:

    • Apply a red frame to expired assets for immediate visibility.

  • Assets Approaching Expiry:

    • Apply an orange frame to assets expiring within the next 60 days, prompting proactive action.

Additionally, when you save these filters as Dynamic Folders, you'll really boost your workflow! Whether you're keeping an eye on assets that are about to expire or collecting the latest uploads, these dynamic folders make your life easier. They refresh automatically, so you can always access the most relevant assets for smooth and effective management.
