To better manage the consent feature it might be a great idea to set up a few filter folders to manage the consent process.
Ensuring the correct usage of your assets in accordance with consent terms can be challenging, especially when you have a large number of assets in your Library. Therefore, we recommend creating filter folders as a valuable way to enhance your workflow and maintain compliance.
Keep track of pending or rejected assets
Consider setting up a filter folder to easily gather all rejected assets, allowing you to keep track of the assets that you are not permitted to use. This can also be done for pending assets, helping you stay organized and informed.
How to set up a filter folder with rejected consent:
- In the Library of your QBank, create the following filter:
- Looking for assets with the status rejected
Consent status = rejected - Add if they are published to any channel
Consent status = rejected
Published To = Has a value
REMEMBER: Don't forget to save your filters!
- Looking for assets with the status rejected
Keep track of expiring consent to be able to act proactively
It might be good to continuously keep track of your expiring consent so that you in advance can renew or unpublish expiring assets
How to set up a filter search for expiring consent?
- In the Library of your QBank, create the following filter:
- Looking for assets with expiring consent in less than 30 days
- Consent will expire within next 30 days, this is a dynamic search always looking for assets that will expire with the next 30 days.
Consent expire date = 30 days
You can add any number you want here-
- 60 day
- 1 week
- 4 weeks
- 3 moths
- etc.
-
- Consent will expire within next 30 days, this is a dynamic search always looking for assets that will expire with the next 30 days.
- An other good thing is to follow, assets that are published but where the consent has expired
- Published to = has a value
- Consent expired = after = today
