QBank plugin: Enhance the file upload experience

The Upload Prompting Plugin is a valuable tool designed to enhance the file upload experience by allowing users to look up filenames before uploading.

The Duplicate File Warning Plugin warns users when an uploaded filename already exists in QBank, letting them choose to upload the file as a new version of an existing media item or select a different filename. This article covers the plugin's key features, how to activate and configure it, and how it works during upload.

What are the key features of the Duplicate File Warning Plugin?

  • Filename lookup: The plugin scans the existing media library to check if the filename or title of the file being uploaded matches any existing media items. It compares the new file's name against the names of previously uploaded files to determine if there is a potential duplicate.
  • Duplicate warning: If a duplicate filename is detected, the plugin generates a warning message to alert the user. This warning advises the user that the file they are about to upload might be a duplicate of an existing file.
  • Versioning support: Alongside the duplicate warning, the plugin provides an option for the user to upload the file as a new version of the existing media. This feature enables users to maintain a history of file versions and easily track changes over time.

How do you activate and configure the Duplicate File Warning Plugin?

To activate the plugin, go to Administration > Plugins, search for upload prompting, configure the prompt type and role settings, then press Install.

  1. Log in to QBank and navigate to Administration > Plugins.

  2. Search for upload prompting and activate the plugin.

  3. You can select between a couple of configuration alternatives:

    1. Prompt type: Select between always uploading an asset as new media or prompting the user if an asset's filename already exists in QBank.
    2. You can also choose whether to allow the user to ignore duplication and create new media.
    3. You can select the category or categories the upload prompting should be activated for. If left empty, it will be activated for all categories.
    4. Finally, select whether the prompting should apply to grouped media, meaning children of a parent media.



    5. Next, select what roles this should be activated for.

When you are done with the configurations of the plugin, press Install. 

What happens when a duplicate filename is detected during upload?

Once configured, a prompt appears when you attempt to upload an asset with a filename that already exists in QBank. The available options reflect the configuration settings defined above.
